The Art of the Sales Email
We’ve worked with plenty of clients who were initially nervous about incorporating email into their sales automation strategy. Most were united by their simple fear of ending up as spam folder statistics.
But what’s important to realize is that it’s highly likely those spam emails you have zero plans of opening have a few things in common. Some of those traits are easier to spot than others.
Obviously, if you receive an email from a faraway prince who really needs you to transfer money to an off-shore account immediately, your trust is compromised. But unfortunately, even legitimate sales emails often fall prey to common mistakes.
Let’s take a look at what not to do if you want to use emails as high ROI sales enablement content. Often, committing even one of the following sales email gaffs is enough to send a reader scrambling to find the unsubscribe button.
Common Characteristics of Bad Sales Emails
- The reader never provided the sender with their email address
- The subject lines are generic or make over-enthusiastic use of UPPERCASE MESSAGING!!!
- The sender fails to consider the reader's current stage of the marketing funnel
- Bad spelling or grammar — nothing tanks an email's credibility quicker
- Too much information
- Not enough information
- No clear CTA
One thing to note is that the proper use of sales automation tools, such as HubSpot Sales Hub, Constant Contact, or MailChimp, is definitely not a bad thing. In fact, a recent survey revealed that 63% of marketers use email automation tools.
The key is making sure that the emails you do send use best practices to build customer trust, nurture loyalty, and turn leads into conversions. You have likely opened a few such emails yourself, probably because they tend to share a set of desirable traits.
Characteristics of a Good Sales Email
- They are from a sender the reader recognizes and provided with their email address
- They include friendly, engaging subject lines that tell the reader exactly what the email is about
- The sender may use personalization to include the reader’s name in the subject line
- The sender uses segmentation to engage readers at different stages of the sales funnel
- The body copy is about what the company can do for the reader, not the other way around
- The message includes all the key information while remaining short, sweet, and easily scannable
- The CTA is clear and often provides a link
Hopefully, this has helped give you a better idea of what makes for a winning sales email. Now, let’s dive into where to find free sales email templates that you can use to engage customers and leads at every stage of the sales funnel.

In addition to those mentioned above, you can access a collection of sales email templates from right inside the HubSpot Sales Hub. Once you’ve created a free or paid account, simply log in to your dashboard.
Select the “Conversations” tab from the top drop-down menu and click on “Templates.” On the next page, the “New Template” button will give the option to customize one of a series of HubSpot sales email templates or create your own.
Free accounts come with the option to save up to five templates at a time. Or you can opt for a Starter subscription to save up to 5,000 templates per account.
Make sure you also check out HubSpot’s Drag and Drop Email Builder, which comes with an additional library of free email templates that can be easily customized. To access this handy feature, select “Marketing” from the main menu, select email “Email,” and click the “Create Email” button.
Users with a HubSpot Marketing Hub Professional or Enterprise account can also save marketing emails as templates.
How can I get free email templates?
HubSpot offers a great collection of free email templates for sales and marketing professionals. In general, there are two different ways to access them. The first is to find HubSpot articles (like those we highlighted above) that offer them as free downloads.
The second is to access the free email templates you’ll find inside the HubSpot Sales Hub. While free accounts are limited to five saved templates, they're a great way to get a feel for what HubSpot has to offer.
Once you’ve created a free account, you can connect it directly to your outside email account to send emails from inside your HubSpot account. If you use Gmail, you can also install the HubSpot Sales Chrome Extension to use HubSpot templates from your Gmail inbox.
Simply select the template you’d like to use, customize your content, and send it to your desired recipient. Your HubSpot Sales Hub will automatically start tracking each email’s performance to help you glean valuable insights about which tactics work the best.
Can I send emails on HubSpot for free?
You can indeed send emails from HubSpot for free! Signing up for a free HubSpot Sales Hub account is a great way to check out the platform, with no need to enter your credit card information.
The key is understanding the limitations of a free account, as opposed to paid upgrade options. With a free account, you can use the HubSpot Drag and Drop email editor to create and send up to 2,000 marketing emails each month. Each will be automatically optimized for various devices and include HubSpot branding.
You can also track the performance of up to 200 one-off emails each month, complete with real-time notifications. The HubSpot Sales Hub also includes email health reports that offer valuable insights into your overall email success.
Free accounts also allow you to save up to five templates, which you can share with your entire team. If you like, you can even set up a shared inbox, so your entire team can easily access and respond to communications.
Best of all, these email features are just the tip of the iceberg. Check out the full list of free HubSpot account features.
How do I download email templates from HubSpot?
Downloading HubSpot’s free email templates, like those offered in the links above, is generally a very straightforward process. Some of them are gated content, which means that when you click on the download link, you’ll be prompted to enter some basic information such as your email address.
Upon completing the required fields, you’ll be directed to a download page. It will often give you the option to access the templates by turning them into a Google Docs copy. If you want to download them to your computer, just select File > Download from the Google Docs menu and select your desired format.
Sometimes HubSpot will also offer the option to download the templates directly as a Microsoft Word document.
If you want to export templates you’ve used inside your HubSpot Sales Hub, head to Marketing > Files and Templates > Files and click “Export All Files.” When the dialogue box appears, click “Select an email,” and choose the email address you’d like to have the zip file sent to. Click “Export” and you’ll be all set.
